Position Summary:
This part-time position will work with the full-time St. Michael School Office Assistant to serve as a point of contact for those visiting and calling the school. Other related duties include supervision - whether occasionally supporting teachers in primary grade specials or supervising students during lunch periods and carpool - as well as coordinating the school’s hot lunch program.
Key responsibilities:
- Greet all families, visitors, staff, and students in the office professionally and positively
- Model professional etiquette while speaking on the phone, and in-person, with all stakeholders
- Contribute to a positive first impression of the school, model values and attitudes that support the school’s core values of reverence, service, and leadership, and contribute to the PreK - Gr. 8 students’ social-emotional development
- Exhibit a high level of professionalism, confidentiality, and the ability to calmly multitask
- Demonstrate the ability to deescalate conflict and calmly respond to communicated concerns
- Ability to navigate and learn new technologies, including but not limited to: the phone system, Outlook, Google G-Suite, RenWeb, and SchoolPass
- Cultivate respectful relationships and positive communication with PreK - Grade 8 students, school families, school staff, parish staff, and outside vendors
- Act as primary liaison between school and YAY Lunch, while supporting the smooth and accurate delivery of purchased meals to the correct students.
- Clearly communicate with families about the lunch program, including individual parents who choose to participate and have questions related to YAY Lunch
- Coordinate with YAY Lunch staff to help with passing out ordered meals
- Support the organization of Field Trips, including related parent permission and communication with teachers before handing final numbers and student participation to Office Manager
- Update Photos on school office’s TV monitor, in collaboration with Director of Communications
- Assist Director of Communications with various tasks, such as preparing Admissions Folders, preparing for Open House event, and coordinating professional correspondence (such as thank you letters) to ensure timely and thoughtful messaging to stakeholders
- Work with full-time Office Coordinator to facilitate the distribution of weekly student Tuesday Folders, which includes copying and printing tasks in preparation for student allocation
- Demonstrate flexibility and support to Administration by serving occasionally as a substitute teacher in last-minute situations when a substitute cannot be secured.
- Fulfill extra classroom or school-wide student supervisory duties as assigned by Administration (i.e. recess duty, lunch duty, carpool dismissal, etc.)
- Contribute to a positive Catholic school culture driven by continuous professional growth, improvement, and collegial collaboration
- Support the securing, scheduling, and communication of after-school enrichment programs
- Other duties as assigned by Administration and/or the Office Manager
Minimum Requirements:
- The ideal candidate will hold an Associate’s degree or Bachelor’s degree.
- 2 or more years of relevant experience related to Education/Teaching/Office or Administrative Support.
- Employment is contingent upon applicant satisfactorily passing criminal background and reference checks.
- Must complete diocese-sponsored Safe Environment Training.
Working Conditions:
This School Office Support would work 9:30 a.m. to 3:30 p.m. in the front office, lunch room, and/or in a classroom setting, with a 30 minutes unpaid lunch period, totaling 27.5 hours per week.
Physical Requirements:
This position not only requires working in a typical office setting but requires the ability to move around our building and grounds to supervise students during class, lunch and recess.
