Position Summary:

The main focus of this position is to provide a welcoming presence for parents, visitors and staff at The Franciscan School, answer questions related to the school and provide daily support to The Franciscan School community.

 

Key responsibilities:

  • Staffs the Siena front desk by answering phones, greeting visitors and parents, and responding to inquiries. Maintains working knowledge and proper use of all front-desk security protocols, including, door access controls, and the emergency response button.
  • Issues passes for students arriving late or leaving early and records all entries accurately in RenWeb.
  • Runs daily attendance reports and coordinates attendance-related needs with the school nurse.
  • Coordinates all aspects of the school lunch program, including communication with vendors and oversight of volunteers.
  • Handles transcript and student record requests, including the preparation and release of test scores, report cards, and all materials contained within a student’s official record, in accordance with school policies and confidentiality requirements.
  • Provides ongoing administrative support in collaboration with other members of the administrative team to support school administrators.
  • Maintains an orderly and welcoming reception area and ensures lost and found items are logged and managed appropriately.

Minimum Requirements:

  • Employment is contingent upon applicant satisfactorily passing criminal background and reference checks.
  • Must complete diocese-sponsored Safe Environment Training.
  • High School diploma or higher degree.
  • Proficiency in Microsoft Office Suite and familiarity with student information or database systems.
  • Strong organizational and time-management skills with the ability to manage multiple tasks throughout the school day.
  • Experience supporting administrators, teachers, and students in a fast-paced environment.
  • Ability to maintain accurate records and handle confidential information with discretion.
  • Strong written and verbal communication skills when interacting with students, parents, and faculty.
  • Ability to read and interpret schedules, reports, and school communications.
  • Ability to draft clear and professional emails, announcements, and routine correspondence.
  • Proficiency in technology used for electronic communication and document preparation.

 

Preferred Qualifications:

  • Experience working in a school or educational office setting preferred, particularly with middle school students.
