Position Summary:
The Assistant Bookkeeper plays an important role in the mission and financial functions of parish daily life. The Assistant Bookkeeper assists the Bookkeeper in handling financial functions of the parish, including oversight of the cash counting and collection process, entering donations into the designated donor and banking software systems, entering checks into the designated software systems, bank deposits, annual reports, and preparation of devices and equipment for events and sales. The Assistant Bookkeeper is eligible for performance-based bonuses and reports directly to the Business Manager.
Key Responsibilities:
Bookkeeping & Cash Collection
- Set-up tables, chairs, and boxes for the Counting Committee
- Oversight of the cash counting and collection process by the Counting Committee
- Assist Counting Committee as needed
- Preparation of collection bags
- Confirmation of empty collection bags
- Entry of mailed-in checks into the designated donor and banking software systems
- Bank deposits
- Entry of all deposits into designated software systems
- Run all checks
- Verify numbers received by the Counting Committee
- Notify Development of large donations
- Notify donors if we are unable to process their checks
- Run reports for tax purposes in designated software systems
- Respond to parishioner, clergy, staff, vendor, and guest inquiries
- Preparation of devices and equipment for events and sales
Other Duties as Assigned
- Perform additional tasks and responsibilities as directed by the Business Manager or Pastor to support organizational goals and business needs.
Work Environment:
- Working in a Catholic Church setting with lay staff and clergy.
- Regular meetings and events inside and outside the parish.
- Occasional evening and weekend work as required to meet business needs.
- Physical demands include occasional lifting of equipment (up to 25 lbs.) and setting up technology for events.
Minimum Requirements:
- Relevant work experience in accounting or customer service
- Professional proficiency in technology and customer service
- Ability to successfully manage competing priorities and meet deadlines in a demanding environment.
- Successful completion of criminal background and reference checks.
- Successful completion of Diocese-sponsored Safe Environment Training.
Preferred Qualifications:
- Associate’s degree in accounting or related field (or equivalent experience).
- 2+ years of relevant work experience in bookkeeping
