Position Summary:
The Faith Formation Administrative Coordinator will work as part of a team, in a fast-paced environment, under the direction of the Director of Faith Formation to provide support to families, youth, and adult faith formation programs. This position coordinates administrative functions of the Faith Formation Department to assist parishioners in sacramental formation processes, formation goals, and enrichment programs as well as provide administrative support to the Director of Faith Formation and other Faith Formation staff as needed. This position requires a flexible work schedule of daytime, Sundays, and occasional evenings and Saturdays. The Faith Formation Administrative Coordinator will be well versed in the Faith Formation programs offered by St. Michael, be organized, flexible, can problem solve, and possess strong interpersonal skills while resonating an image that displays the mission of St. Michael the Archangel Church.
Key responsibilities:
- Responds to phone calls, emails, and walk-in inquiries regarding Faith Formation programs.
- Manages registrations, enrollments, and databases for Faith Formation groups, events, and classes.
- Coordinates and prepares materials for meetings.
- Assists with on-site meetings, classes, and activities, as needed.
- Maintains class materials, supply ordering, and billing.
- Utilizes the parish data management system for registration events and records.
- Supports program volunteers (40+) with materials and class supplies.
- Organizes and maintains sacramental preparation paperwork collection and verification.
- Submits bulletin announcements and upholds communication with families.
- Ensures Faith Formation volunteers are Safe Environment trained and certified.
- Collaborates with the Faith Formation staff on the creation of class assignments, class attendance sheets, and monitoring the completion of any class assignments.
- Ensures all sacramental paperwork is received for First Eucharist and Confirmation, create certificates for each sacrament.
Other Duties and Responsibilities
- Schedules appointments, as requested.
- Compares and reconciles the parish calendar with Faith Formation events to avoid conflicts.
- Makes travel arrangements for visiting speakers.
- Special projects and event planning, as assigned.
Minimum Requirements:
- HS Diploma required. Bachelor’s Degree preferred.
- 1-2 years of experience working in an administrative and/or customer support role.
- Must be an active, fully initiated, practicing Catholic.
- Proficient in Microsoft Office Suite.
- Possess excellent organizational skills.
- Ability to multi-task, prioritize, and follow up on tasks.
- Exhibits strong relational and pastoral skills.
- Must be available on Sundays and outside office hours September-May.
- Excellent communication skills both in written and spoken word.
- Ability to maintain confidentiality with families.
- A living knowledge of and alignment with the doctrines of the Catholic Church.
- Employment is contingent upon applicant satisfactorily passing criminal background and reference checks
- Must complete diocese-sponsored Safe Environment Training within 30 days of hire.
Much time is spent in an office setting. The employee is required to sit for extended periods, talk, stand, and hear. The employee is also required to spend extended periods of time standing. The employee will often perform light work: lifting, transporting, and/or carrying materials such as learning supplies, books, and lightweight furniture. The noise level in the work environment is usually moderate.
- The employee will often be required to work weekends. At these times, it is expected that the remaining work week will be flexed to keep total hours to the 40-hour requirement.
- Ability to lift up to 25 lbs.
Preferred Qualifications:
- Bilingual desired.
