Position Summary:

Cardinal Gibbons High School seeks an Executive Assistant to Athletics to join our team. The assistant plays a critical role in the success and daily operations of the Athletics Department.

The executive assistant to Athletics acts as the primary communication hub for internal and external stakeholders, ensuring timely, accurate, and professional interactions across the board. Beyond general departmental support, the role includes serving as the personal assistant to the Director of Athletics, streamlining the Director’s schedule and communications to enhance overall departmental efficiency.

The successful candidate will bring a proactive, service-minded attitude, excellent organizational skills, and a passion for supporting a thriving athletic community.

Key Responsibilities:

Administrative & Financial Support

  • Act as the personal assistant to the Director of Athletics:
    • Manage calendar, appointments, and correspondence.
    • Coordinate meetings and make travel arrangements.
  • Handle financial transactions including:
    • Processing invoices, check requests, and purchase orders.
    • Maintaining up-to-date budget tracking spreadsheets.
  • Manage procurement and distribution of end-of-season awards:
    • Organize senior gifts, letters, pins, plaques, and certificates.

Event Coordination

  • Plan and support logistics for key athletic events:
    • Football game days (regular and postseason)
    • Back to School Night, Open House, National Signing Days
    • All-Crusader Awards, Hall of Fame Induction, Athlete of the Year Dinner
  • Coordinate travel logistics for teams and staff for athletic trips.

Communication & Engagement

  • Serve as the central communication liaison for athletics scheduling:
    • Keep coaches, officials, and admin aligned on updates.
  • Support onboarding and ongoing training for coaching staff.
  • Plan and host quarterly social gatherings for coaches to promote community and collaboration.

Minimum Qualifications:

Required:

  • High school diploma (Bachelor’s degree preferred).
  • Strong administrative, organizational, and communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Employment is contingent upon applicant satisfactorily passing criminal background and reference checks
  • Must complete diocese-sponsored Safe Environment Training prior to start.

Preferred:

  • Experience working in a school setting.
  • Familiarity with high school athletic programs (preferred, not required).
  • Demonstrated commitment to supporting school communities and athletics staff.

Skills and Abilities:

  • Proficiency in digital tools for communication, scheduling, and financial tracking (e.g., email, spreadsheets, desktop publishing, presentation software).
  • Strong interpersonal skills for working with parents, coaches, and students.
  • Ability to analyze and report financial data.
  • Effective problem-solving and project management skills.
  • Comfortable presenting and responding to inquiries from diverse audiences.
