Position Summary:
Saint Raphael the Archangel Catholic Parish, a vibrant, multicultural, Jesuit parish of about 3,700 families with a school of 450 students and a preschool of 150 students, is seeking a Parish Database and Membership Coordinator. This position maintains and enhances the parish database to include parishioner registrations, data changes, records management, and other matters related to parishioner and volunteer data. Ensures that the capabilities of the parish database program are maximally utilized to support parish ministerial, operational and management functions. Works in collaboration with the parish priests, staff, and ministries to meet their data management needs.
Key responsibilities:
- Maintain up to date parishioner records in parish database. Includes updating records for address changes, envelope numbers, adding new members, removing members that move, and removing duplicates.
- Manage new parishioner experience to include welcoming, database enrollment, and new parishioner letter distribution.
- Collaborate with staff liaison and ministry leaders to support new parishioner engagement in parish life.
- Support faith formation database initiatives as needed to include, processing registration materials, data entry, and fees reconciliations.
- Support and navigate transition to a new parish membership database.
- Collaborate with marketing to enhance use of parishioner data for communications, planning, and engagement purposes.
- Maintain and monitor security access login for parishioners and ministry leaders..
- Collaborate with diocesan data services to sync parish membership data and analyze discrepancies.
- Attend and participate in regularly scheduled departmental and staff meetings.
- Maintain open communication with members of staff and lay ministry volunteer leaders.
- Maintain monthly .csv file transfer for envelope mailings.
- Coordinate and execute annual offertory and annual BAA appeals.
- Foster a culture of gratitude to inspire parishioners' support and stewardship.
- Develop and implement parish policies and procedures regarding membership and programmatic registration processes, collect and maintain parishioner’s records including sacramental data.
- Connect parishioners and new families with ministry leaders and volunteer opportunities.
- Generate gift acknowledgement letters and support the business office with annual tax statement distribution.
Minimum Requirements:
- College graduate or related work experience required.
- Must be a practicing Roman Catholic with a history of involvement in parish ministry.
- Strong computer experience in web-based data management systems.
- Possess outstanding organizational and multitasking skills.
- Excellent communication skills both in the written and spoken word. Fluency in Spanish is recommended.
- Must be proficient in Microsoft Office and Google.
- Employment is contingent upon applicant satisfactorily passing criminal background and reference checks
- Must complete diocese-sponsored Safe Environment Training.
