Position Summary:
The Safe Environment Administrator position is a part-time, non-exempt position which manages all aspects of the Child and Youth Protection program for the church and school as defined by the Diocese of Raleigh and the Pastor of Saint Michael the Archangel Catholic Parish of Cary. The position averages up to 12 hours per week with time periods of higher volume.
Key responsibilities:
Regular Tasks
- Process all staff and parish volunteer applications, including running background checks, verifying references, and ensuring Safe Environment Training attendance.
- Maintain staff and volunteer information for the church, preschool, and school on diocesan-wide database and run reports monthly, and communicate non-compliance accordingly.
- Notify staff and volunteers when volunteer certification status is expiring. Use church and school databases to make sure individuals to be recertified still attend the church or school and archive on databases as needed.
- Plan/Facilitate several Safe Environment Training sessions throughout the school year.
- Verify monthly bills from Integrated Screening Partners for background checks.
- Ensure that social media announcements are sent to the communications coordinator at least 6 times a year
Cyclical Tasks
- Verify that Summer Camps and Vacation Bible School (when applicable) will abide by the 2 deep leadership policy, with at least one Level C adult and that all other volunteers are Level B or Level C. (SPRING)
- Submit training dates for the next fiscal year to the diocese for publication (SPRING)
- In coordination with Campus and School Security Directors, schedule meetings with ministry leads, teachers and school office explaining the Safe Environment Program. (SUMMER)
- Support School Safety Director for relevant events such as back-to-school nights to make new school parents aware and remind returning parents of requirements. (SUMMER)
- Ensure church and school personnel complete training of students in “Setting Boundaries for a Safe Environment” and that necessary reports are completed. (FALL)
Other Duties and Responsibilities
- Reports to the Director Operations, who is responsible for the oversight of the Child and Youth Protection Program at St. Michael the Archangel.
- Works in collaboration with the Campus Security Director and the School Director of Safety and Security on all matters related to Child and Youth Protection Program.
- Collaborate with parish department heads as needed.
- When the Diocese provides a new Safe Environment Presentation, review it and give a summary of changes to the presenters.
- Attend all Diocesan Youth Protection Leadership meetings and convocations.
- Prepare Diocesan Annual Safe Environment Report and any other Diocese of Raleigh required SET reports.
- Prints, programs, and maintains all access control badges for staff and volunteers.
- Work in partnership with the Campus Security Director to ensure all emergency response documents are up to date and ready for communication by the Campus Security Director.
- Other tasks as assigned.
Minimum Requirements:
- High School Graduate.
- Knowledge of Microsoft Word and Excel; ability to learn new software.
- Excellent communicator with strong interpersonal skills; ability to work well with various personalities.
- Based in the office, working from home is not permitted for this position.
- Ability to work independently with attention to detail, strong organizational skills.
- Ability to sit for long periods of time.
- Employment is contingent upon applicant satisfactorily passing criminal background and reference checks.
- Must complete diocese-sponsored Safe Environment Training.
Preferred Qualifications:
- Bilingual is strongly desired.
