Position Summary:
Music and Liturgy Administrative Coordinator supports the musical, liturgical, and sacramental activities of the Parish and is responsible for the administrative aspects of the baptismal preparation process in English. In addition the Music and Liturgy Administrative Coordinator assists with Parish sacramental recording, and is also a member of the Parish Office Support Team.
Key responsibilities:
- Is responsible for all aspects of baptism planning and preparation in English; scheduling (in coordination with clergy), parent and godparent formation, godparent paperwork, baptism supplies, and post-sacrament recording. Assists with Spanish baptism ministry, working collaboratively with the Hispanic Ministry Office leaders as needed.
- Assists in the maintenance of sacramental records for all sacraments according to the requirements of Canon Law and the Diocese of Raleigh: paperwork, recordkeeping, correspondence, and guidelines. Recruits, trains, supervises, and supports sacramental records volunteers. Assists with incoming sacramental records requests. Prepares baptism sacramental registry for annual Dean’s visit.
- Serves as the Administrative Coordinator to the Music and Liturgy Office.
Tasks include:
- Communication with, and scheduling of liturgical volunteers.
- Documentation, including assisting with Orders of Sung Worship and corresponding license reporting.
- Maintenance of databases and other (web-based) accounts including: MSP (Ministry Scheduler Pro), Realm, Boxcast (livestream), and others.
- Provides coverage for other staff, as requested.
- Other Duties and responsibilities
- As a member of the Office of Music and Liturgy, collaborates with team on musical and liturgical activities.
- Attends parish staff meetings, Raleigh Deanery, and diocesan meetings, as requested.
- On occasion, provides Front Desk coverage as part of the Parish Office Support Team.

Minimum Requirements:
- Minimum level of Education: College degree preferred, with some experience in parish service (staff or volunteer).
- Employment is contingent upon applicant satisfactorily passing criminal background and reference checks
- Must complete diocese-sponsored Safe Environment Training.
Preferred Qualifications:
- Strong communication skills, both written and verbal.
- Works well with pastoral sensitivity and collaboration in a dynamic environment.
- Proficient in Microsoft Office, Word and Outlook, willingness to learn ACS/REALM and other software that may be needed in this role.
- Strong organizational skills.
- Manifests a personal commitment to the teachings and life of the Roman Catholic Church.
