Position Summary:
St Michael the Archangel of Cary is seeking an Executive Assistant to the Pastor. This position is responsible for coordinating and maintaining the day-to-day schedule and tasks as required by the Pastor. This position reports to the Pastor as well as to the Director of Operations and Director of Pastoral Services.
Key responsibilities:
- Parish Duties
- Exercise good judgement, discretion, and confidentiality in all dealings.
- Manage the Pastor’s daily schedule for liturgy, staff, and external meetings.
- Communicate with parishioners, council members, staff, school, and preschool administration regarding the Pastor’s availability to attend meetings, to supply required signatures, and to provide preparation for the sacraments of marriage and baptism.
- Schedule clergy in our software, Mass intentions On-Line (MIO), for Masses, confessions, weddings, baptisms, confessions, First Communions, Confirmation, Special Liturgy, Quinceaneras, and prayer services. MIO will also be utilized to schedule nursing home Masses and Sacraments, which are coordinated through the Nursing Home Ministry Leaders.
- Coordinate, plan, and disseminate the clergy calendar electronically using MIO for all priests, deacons, and visiting clergy for all events in the parish at the Pastor’s discretion.
- Collaborate with the Pastor for the clergy calendar scheduling process guidelines for Parish priests, visiting clergy, stipend details, and the preaching schedule for our deacons.
- Manage and update the on-line accounts for Homily Prep. Prepare the folders for each Sunday with Homily Prep materials. This is done the month prior for planning purposes by the Pastor.
- Manage communications as it relates to the Pastor’s desk phone, emails and physical mailings.
- Prepare Pastor expense reports for the Finance Department each month for mileage and professional expenses for St. Michael.
- Update and manage the files and information for the completion of and submittal to the Diocese of the annual Deanery Visit and the Status Animarum.
- Liaise with our School and Preschool as required by the Pastor.
- Deanery Duties
- Coordinate schedules and materials for Scouting meetings where the Pastor serves as the Chaplain.
- Manage scheduling, documentation, and coordination for the Raleigh Deanery responsibilities, including quarterly Deanery meetings, annual Parish visits by the Dean, the Annual Raleigh Deanery Formation Day, and sign-ups for Advent and Lenten Penance Services.
- Prepare and submit the Pastor’s monthly expense reports, including mileage and professional expenses related to the Raleigh Deanery.
Other Duties and Responsibilities
- Other duties as assigned by the Pastor, Director of Operations, and Director of Pastoral Services.
- Attend meetings, create agendas, and take meeting minutes as directed by the Pastor, Director of Operations, and Director of Pastoral Services.
Working Conditions
- This is an in-office role. A hybrid working environment is permissible with Supervisor approval ahead of time.
- Ability to participate in daily Mass, Adoration, and prayer throughout the workday.
Physical Requirements
- Ability to sit at a desk for work hours.
- Ability to lift 25 pounds.
Minimum Requirements:
- Bachelor’s degree or relevant certification required.
- 2-5 years of related experience.
- Understanding of and respect for the Catholic Faith.
- Strong interpersonal and verbal communication skills.
- Proficiency in Microsoft Office and related products.
- High attention to detail and strong organizational skills.
- Ability to take initiative, prioritize tasks, and manage multiple responsibilities.
- Collaborative team player able to work effectively with diverse internal and external partners.
- Employment is contingent upon applicant satisfactorily passing criminal background and reference checks.
- Must complete diocese-sponsored Safe Environment Training within 30 days of hire.
Preferred Qualifications:
- Bilingual skills are a plus, but not required.
