Position Summary:

St. Mary Catholic School in Wilmington, North Carolina seeks highly motivated candidates for the position of Associate Business Manager.

This Associate Business Manager supports the financial and operational functions of the Catholic school, working closely with the Business Manager, Principal, and diocesan offices. This role ensures responsible stewardship of the school’s resources in alignment with its Catholic mission, while maintaining high standards of professionalism, confidentiality, and service.

Key Responsibilities:

  • Financial Management
    • Assist in preparing and managing the school's operating budget.
    • Process accounts payable and receivable.
    • Reconcile monthly and annual financial statements.
    • Prepare weekly cash disbursement reports and ensure timely bank deposits.
    • Monitor budget trends and provide analysis to school leadership.
    • Manage incidental billing for student fees and tuition.
    • Support grant applications and reporting.
  • Payroll & HR Support
    • Facilitate payroll processing in coordination with diocesan HR
    • Prepare annual employee contracts and update personnel files
    • Assist with onboarding new employees, including benefits enrollment and payroll setup
    • Administer timekeeping systems and approve hourly timesheets
    • Maintain confidentiality and professionalism in all employee matters
  • Administrative & Compliance Duties
    • Maintain records of contracts with outside vendors
    • Ensure compliance with diocesan, state, and federal financial regulations
    • Coordinate administrative support staff scheduling and duties
    • Support school events involving financial transactions and cash handling
    • Prepare reports for diocesan finance office and school administration

Minimum Requirements:

  • Bachelor's degree in accounting, finance, business administration, or related field.
  • Minimum 3 years of experience in finance or administrative support.
  • Proficiency in Microsoft Office {Excel, Word, Outlook) and accounting software {e.g., QuickBooks, Blackbaud).
  • Strong organizational and time management skills.
  • Ability to handle confidential and time-sensitive matters with discretion.
  • Familiarity with Catholic education and values preferred.
  • Must satisfactorily complete the required criminal background and reference checks.
  • Must complete Diocese-sponsored Safe Environment Training.

Work Environment:

  • Full-time position with benefits.
  • Reports to the Business Manager and/or Principal.
  • May require occasional evening or weekend hours for school events.
  • Expected to uphold the philosophy and mission of Catholic education.
