Position Summary:

The Marketing and Outreach Coordinator promotes the mission and growth of the parish, school, and outreach ministry primarily by creating social media campaigns and managing website updates, overseeing the parish Outreach Resource Center facility and programs, coordinating marketing campaigns, and supporting/performing front-office administrative duties as needed, to include calendaring and facility usage agreements, etc., on an as- needed basis.

Key responsibilities:

  • Community Engagement and Events
    • Register for and coordinate parish participation in community events (e.g., National Night Out).
    • Support large-scale parish and school events such as fundraisers and raffles.
  • Marketing
    • Update and optimize website (Wix)
    • Coordinate with local sales representatives for marketing campaigns.
    • Create print and digital marketing materials.
    • Publicize ministry/parish/school events through social media campaigns, flyers posted to parish/school bulletin boards, MyParish app notifications, bulletin announcements coordinated with the Secretary, monthly newsletters, and website updates.
    • Maintain parish bulletin boards.
  • Facilities and Stewardship
    • Manage facility use and scheduling (Hall, Gym, Outreach Center, etc.), ensuring parish policies are known and upheld.
    • Maintain contracts and record details for all special events.
    • Maintain current contacts for all recurring events facilitators, e.g. ministry leader names/emails/phone numbers.
    • Communicate with Facilities Manager, briefing upcoming scheduled events and follow-up on any incidents that need to be addressed with groups using parish facilities.
    • Plan and facilitate regular calendar coordination meetings with staff and ministry leaders to ensure accuracy of parish facility calendars.
  • Administrative Support
    • Assist front office staff as needed (phones, general inquiries, etc.).
    • Collaborate with colleagues and administrators on projects that advance parish and school initiatives.
  • Food Pantry
    • Maintaining adequate stock levels and proper rotation of stock in the food pantry.
    • Purchasing needed items to restock non-perishable items using food pantry gift cards.
    • Purchasing perishable items weekly or as needed using food pantry gift cards.
    • Coordinating with local groups for donations.
    • Coordinating with IOPCS for holiday food drive.
    • Covering any shift a volunteer is unavailable for.
    • Checking pantry voicemail and calling clients for appointments.
    • Coordinating with local non-profits, DSS, Trillium, etc., to assist clients with food.
    • Recording all expenses.
    • Reconciling receipts and ORC credit card.
    • Checking Gift card database and using cards before expiration.
    • Make determinations regarding policies.
    • Cleaning food pantry
    • Processing bulk chicken properly.
    • Network with non-profits, city and county entities.
    • Schedule and oversee volunteers.
  • Utility Assistance
    • Overseeing volunteers.
    • Maintaining records for each client and transaction.
    • Make determinations regarding policies.
    • Pre-screen all requests before a pledge is made to client.
    • Keep all receipts for reconciliation.
    • Watch monthly pledges to stay within monthly budget.
    • Monitor call log and requests
    • Monitor rate of requests and response time to requests.
    • Keep a record of all clients who have met their lifetime assistance.

Minimum Requirements:

  • Minimum level Degree/Education: HS Diploma with a minimum of 2 years experience in Marketing or Associates Degree in Marketing and Communication.
  • Previous experience in Marketing with proficiency in Microsoft, Google Workspace, Facebook Business Suite, Canva Pro, Google Workspace, and related digital tools.
  • Create print and digital marketing materials, with experience in content design and photography, especially for online and social media platforms.
  • Experience handling confidential, sensitive, timely and critical matters using good judgement, tact, respect, and discretion.
  • Demonstrated experience in appropriate computer technology skills; must be proficient with photo editing software and design software.
  • Excellent oral and written communication skills.
  • Employment is contingent upon applicant satisfactorily passing criminal background and reference checks.
  • Must complete Diocese-sponsored Safe Environment Training.
  • Must be able to lift and carry 40lbs

  • Excellent written and verbal communication skills.
  • Roman Catholic in good standing is strongly desired.

  • Pull 60lb or more.
  • Bi-lingual preferred.
