Position Summary:

The Administrative Assistant will greet and welcome parishioners and visitors, address inquires both in person and via incoming calls.  The Admin Assistant will write minutes for weekly staff meeting and maintain an action item list.  They will assist the Director of Religious Education and Liturgical Coordinator with administrative recordkeeping and preparation of liturgical materials. 

Key responsibilities: 

  • Greet and welcome parishioners and visitors; addresses walk-in inquiries; accepts deliveries; aids and/or refers requests to the pastor or appropriate staff member.
  • Answer incoming telephone calls in a courteous and friendly manner, direct calls to the appropriate person and delivers messages as required
  • Participates in weekly staff meetings, writes the minutes for those meetings and maintains an action item list.
  • Accepts requests for Mass Intentions and schedules accordingly
  • Provides administrative support to the Director of Religious Education
  • Prepares liturgical materials as needed for the parish.

Minimum Requirements:

  • Minimum level of Education: High School Graduate
  • 1-3 years of professional experience in an office or secretarial setting
  • Bilingual English/Spanish - Conversational Spanish is a must.
  • Employment is contingent upon applicant satisfactorily passing criminal background and reference checks.
  • Must complete diocese-sponsored Safe Environment Training within 30 days of hire.

Preferred Qualifications:

  • Proficiency with Microsoft Office.
  • Strong interpersonal skills; ability to work collaboratively and independently.
  • Excellent communication skills – verbal, written, and body language.
