Position Summary:
The Parish Database and Registration Coordinator is responsible for maintaining accurate parishioner records and managing new parishioner registrations. This position supports the parish's mission by ensuring the integrity and accuracy of parish membership data, facilitating effective communication, stewardship, and pastoral outreach.
Key responsibilities:
Parishioner Registration
- Process and enter new parishioner registrations into the parish database.
- Review registration forms for completeness and follow up as needed to obtain missing information.
- Connect new parishioners with appropriate staff based on information provided in registration form, as needed.
Database Maintenance
- Maintain accurate parishioner and family records within the parish database management system.
- Identify, review, and merge duplicate family and individual records.
- Update member contact information, sacramental records, and household status as needed.
- Perform regular database audits to ensure data accuracy and consistency.
- Ensure confidentiality and proper stewardship of parishioner information.
Membership Review
- Conduct periodic reviews of parishioner records to identify families who have relocated, transferred, or are no longer active in the parish.
- Coordinate appropriate follow-up procedures prior to updating membership status.
- Maintain accurate records of inactive, moved, or deceased parishioners in accordance with parish policies.
Minimum Requirements:
- Understanding of the Catholic faith and commitment to the Church’s mission.
- High school diploma or equivalent required.
- Prior administrative, office, or database management experience.
- Strong attention to detail and accuracy.
- Proficiency with computer applications, including Microsoft Office and database systems.
- Ability to handle confidential information with discretion and professionalism.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to work independently and manage assigned projects.
- Employment is contingent upon passing a criminal background and reference check; must complete Diocese-sponsored Safe Environment Training upon hire.
Preferred Qualifications:
- Experience working in a Catholic parish or nonprofit organization.
- Familiarity with ParishSOFT Family Suite.
- Understanding of Catholic parish structure and operations.
- Bilingual (English/Spanish) preferred.
