Position Summary:
The Office of Married Life Administrative Assistant supports the parish's marriage preparation and wedding ministries by providing administrative, logistical, and communications support. This position helps ensure that engaged couples complete required sacramental preparation, documentation, and scheduling requirements in a timely manner. The ideal candidate is highly organized, detail-oriented, and committed to providing professional, welcoming, and faith-centered service to couples preparing for the Sacrament of Marriage.
Key responsibilities:
Administrative Support
- Assist in fielding wedding inquiries via phone, email, and in-person communication.
- Process and record wedding facility fees and related documentation.
- Maintain accurate records within the wedding administration database.
- Manage wedding calendar, including tentative reservations and confirmed bookings.
- Generate and distribute reminder emails, notices, and other correspondence related to marriage preparation and other Office of Married Life events.
Marriage Preparation and File Management
- Monitor wedding files to ensure completion of required sacramental, diocesan, and parish documentation.
- Follow up with engaged couples regarding missing forms, deadlines, and preparation requirements.
- Coordinate distribution and tracking of Fully Engaged assessments and related materials.
- Record completion of marriage formation workshops and required preparation programs.
- Maintain confidential parish records in accordance with diocesan policies and best practices.
Event and Ministry Support
- Coordinate registrations for marriage preparation workshops and other Office of Married Life events.
- Assist with event logistics, including preparation of materials, attendee lists, and communications.
- Create and distribute promotional materials.
Minimum Requirements:
- Understanding of the Catholic faith and commitment to the Church’s teachings, especially regarding the sacrament of marriage.
- Fluency in English and Spanish (written and verbal)
- High school diploma or equivalent required.
- Proficiency in Microsoft Office applications, including Outlook, Teams, Excel, and Word.
- Minimum one year of administrative or office support experience.
- Strong organizational, communication, and time-management skills.
- Ability to handle confidential information with discretion and professionalism.
- Ability to work independently and manage assigned projects.
- Employment is contingent upon passing a criminal background and reference check; must complete Diocese-sponsored Safe Environment Training upon hire.
Preferred Qualifications:
- Experience working in a Catholic parish, ministry setting, or nonprofit organization.
- Familiarity with ParishSOFT Family Suite, Knack, or other church management databases.
- Proficiency with graphic design platforms, such as Canva, and digital communications.
