Position Summary:
The Administrative Assistant reports to the Director of Development (DoD) of the Duke Catholic Center and is responsible for helping manage the administrative needs of Development. The development program is charged with raising funds over $1,000,000 a year for programs, facilities, and endowment of the Center. Primary responsibilities and relationships with others are outlined below.
Key Responsibilities:
- Annual Giving Strategy and Implementation
- Establish and maintain reports and tools that assist in the analysis, evaluation, and reporting of the annual giving program.
- Assist in the development of budgetary recommendations for annual giving efforts; record and accurately report on actual costs and evaluate the use of funds within assigned programs and activities.
- Implement and oversee the mailing of all promotional and informational materials in conjunction with the annual giving calendar, which includes the annual report, annual fund solicitation letters, invitation to events, etc.
- Manage the student directors and leaders involved in development work and direct student related fundraising activities including the Senior Class Gift program and thank-a-thon.
- Develop and implement comprehensive stewardship strategy and programs including Guardian Angel Society in conjunction with Director, DoD and Advisory Board.
- Assist with researching and writing grant proposals and reports.
- Advancement Administration
- Serve as the manager of the Center’s donor database. Supervise student intern or work-study student assisting with database maintenance. Ensure the following:
- Constituent records are updated on a timely basis (address changes, births, additions, deaths, notepad information, codings, annual giving segments, annual giving ask amounts, etc.)
- Routine database reviews and corrections to improve database accuracy
- Importation of new student and parent data on an annual basis
- Work with DoD to coordinate and plan Director travel.
- Serve as the manager of the Center’s donor database. Supervise student intern or work-study student assisting with database maintenance. Ensure the following:
- Collaboration and Strategic Initiatives
- Collaborate with Duke Catholic Center staff. Participate in DCC staff meetings, committees and groups as needed.
- Perform additional duties as assigned by the Director or DoD.
Minimum Qualifications:
- Bachelor’s degree.
- 0-2 years of experience administrative roles.
- Enthusiasm and excellent people skills are essential. The successful candidate must have the flexibility to handle the needs of a fast-paced office.
- Excellent communication skills, written and verbal.
- Ability to organize/prioritize tasks and to lead/motivate others, especially volunteers.
- Thoroughness in planning and implementing work, including goals, budget, timetables, and action steps to achieve objectives.
- Required technical skills include proficiency with MS Word, PowerPoint, and Excel, as well as a willingness and ability to master donor database tools (e.g. Raiser’s Edge).
- Preferred: Practicing Roman Catholic and affinity with the overall mission of the Catholic campus ministry.
Hours:
- The Administrative Assistant is a 40+ hour per week position, Monday–Friday
Compensation:
- Full-time, 12-month a year position
- Salary is commensurate with experience
