Weekly Schedule: 20 Hours Per Week, Mon-Thurs 9:00 AM – 2:00 PM
Position Summary:
The Diocese of Raleigh, North Carolina is seeking a detail-oriented and efficient Administrative Assistant to provide comprehensive administrative support to departmental staff. The ideal candidate will be highly organized, possess excellent time management skills, and maintain a warm, respectful, and welcoming approach.
Key Responsibilities:
- Provide comprehensive administrative support to case managers, judges, and staff within the diocesan tribunal.
- Respond promptly to incoming and outgoing phone calls and emails correspondence.
- Manage all incoming and outgoing physical mail correspondence.
- Review, organize, and process case-related paperwork and documentation.
- Scan and copy documents for accurate physical and digital filing and record-keeping.
- Create, edit, and secure Adobe PDFs and Microsoft Office documents.
- Assist with the systematic archiving and retrieval of tribunal documents as needed.
Minimum Requirements:
- An associate's degree or an equivalent level of relevant experience required.
- 1 to 3 years of professional administrative experience preferred.
- Demonstrated ability to handle confidential and sensitive information with discretion while maintaining strict confidentiality.
- Fluency in English and Spanish required; proficiency in Vietnamese is a plus.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
- Proficiency in Adobe Acrobat for document management and manipulation.
- Strong aptitude for learning and utilizing various technology and software applications.
- Excellent verbal and written communication skills, with the ability to convey information clearly and effectively.
- Employment is contingent upon applicants satisfactorily passing criminal background and reference checks.
- Completion of Diocese-sponsored Safe Environment Training is required upon hire.
