Position Summary:
The Registrar is a key member of the academic support staff, responsible for managing student records, grades, reports, and overseeing all processes related to student data and registration.
This role reports to the Academic Dean and partners closely with academic departments, College Counseling, Admissions, and senior administrators to ensure data accuracy and a seamless student experience from enrollment to graduation.
Cardinal Gibbons High School is a private college preparatory school of the Roman Catholic Diocese of Raleigh. We are seeking a detail-oriented, tech-savvy, and collaborative Registrar to join our administrative team.
Key Responsibilities:
Student Information Systems (SIS) & Data Integrity
- Administer the school’s SIS (currently PowerSchool), ensuring consistent and secure data management.
- Generate and troubleshoot reports to support academic planning and school operations.
- Collaborate with the Data Systems Manager and Chief Technology Officer to ensure data accuracy and confidentiality.
Academic Records & Transcript Management
- Maintain comprehensive academic records for all students, including report cards, GPAs, and official transcripts.
- Manage transcript requests and secure document delivery via Parchment.
- Ensure timely grade entry and accurate academic documentation throughout the school year.
Scheduling & Course Management
- Collaborate with the Academic Dean to coordinate student course registration and lead the development of the master schedule.
- Maintain the course catalog and support the academic scheduling needs of faculty and administration.
- Manage student schedules and process course changes, ensuring balanced scheduling and accurate academic placement.
Enrollment & Onboarding
- Support enrollment processes in collaboration with the Director of Admissions and Enrollment Management.
- Manage onboarding for new students, including SIS entry, ID assignment, and student course placement.
- Partner with Admissions to facilitate data transfer and onboarding of newly enrolled students.
Reporting & Compliance
- Prepare and submit required reports for local, state, and accrediting bodies, including the diocese and internal stakeholders.
- Maintain accurate enrollment and withdrawal documentation.
- Support athletic eligibility reporting based on NCHSAA or equivalent standards.
School-Wide Collaboration and Events
- Collaborate with administration to plan school events, including Graduation weekend and registration events.
- Participate in projects and initiatives as directed by the senior leadership team.
Minimum Qualifications:
- Bachelor’s Degree
- Minimum of 3 years’ experience in a high school or similar academic setting
- Proficiency with SIS and LMS platforms (PowerSchool preferred)
- Advanced knowledge of Google Workspace and Microsoft Office, especially Excel
- High attention to detail and strong organizational skills
- Ability to maintain confidentiality and manage sensitive information
Preferred Qualifications:
- Expertise in PowerSchool or comparable SIS
- Experience with custom reporting and data analysis (SQL knowledge a plus)
- Understanding of high school academic structures (grading, GPA, transcripts, graduation requirements)
- Familiarity with independent school operations and trends
- Experience with budget and financial reporting
- Strong interpersonal and communication skills
- Experience with project management and event coordination
