Position Summary:

St. Michael Preschool in Cary, NC is seeking an Admissions and Tuition Coordinator to join its team. The Admissions and Tuition Coordinator assists the Preschool Director with the coordination, administration, and management of tuition and billing. Also, assists with other duties associated with the successful operation of the school.

Key responsibilities:

  • Manage Enrollment Process
    • Create and Maintain Realm Event for Registration/Extended Day Programming.
    • Manage Registrations and Waitlist as needed.
    • Register students for Extended Day activities.
    • Work with Finance Office about Stewardship approvals.
    • Send all New Registrants communications.
  • Manage Realm database system
    • Create Groups and events.
    • Profile Management.
    • Input information from families into newly created Realm profile.
  • Invoicing
    • Late Payment follow up – Tuition and Ext Day
    • Run monthly tuition reports.
    • Auto draft management.
    • Run Vanco daily reports and enter payments in Realm.
    • Process deposits forms and submit them to the Finance Office.
  • Other Duties and responsibilities
    • Miscellaneous tasks associated with school opening and closing. 
    • Provide Tours to prospective families.
    • Credit Card reconciliation for Director and Admin Assistant/Code all purchases.
    • Process check requests from Employees.
    • Answer phone/voicemail, return calls as needed.
    • Check email daily (5 days a week) to address tuition/registration questions.

Minimum Requirements

  • A minimum of a Bachelor’s degree preferred with 2 or more years of Office or Secretarial Support.
  • Excellent interpersonal skills including the ability to listen, speak effectively and interact professionally with others.
  • Superior attention to detail and ability to prioritize according to timeframes established.
  • Experience with Microsoft Office.
  • A practicing Catholic preferred with thorough knowledge of the Catholic faith and ability to communicate it to wider audience in both words and actions.
  • Ability to manage confrontation (in-person, voice, written). 
  • Employment is contingent upon applicant satisfactorily passing criminal background and reference checks.
  • Must complete diocese-sponsored Safe Environment Training.
