KEY RESPONSIBILITIES/ DAY-TO-DAY JOB FUNCTIONS:

  • Admissions Assistant: Assist prospective parents with information and enrollment. Assist in preparation of registration, open house, etc.
  • Criminal Background Checks
  • Emergency Procedure Coordination
  • Field Trip Coordination and posting on Schoolspeak
  • First Aid to Students:  Assist sick students and contact parents as necessary.
  • Home and School Association Liaison
  • PikMyKid
  • Safe Environment Training:  Maintain Safe Environment Training Data Base
  • School Office – Assist with the following general tasks:  Compose daily correspondence.  Attend meetings as necessary, including open house, registration, etc.  Communications with parents through SchoolSpeak.
  • School Photos Coordination
  • Student Records/Files Management
  • Management of Substitute Teacher list
  • Management of Supply Orders
  • Management of Volunteers (providing paperwork as needed)

Minimum Requirements:

  • Employment is contingent upon applicant satisfactorily passing criminal background and reference checks.
  • Must complete diocese-sponsored Safe Environment Training within 60 days of hire.
  • Minimum level of Education: Associate degree.

Minimum amount/type of Work Experience:

  • 1 year in an office setting.
  • Must be able to work each day of the school calendar.
  • Skilled use of Microsoft Office Suite (Word, Excel, PowerPoint).
  • Capacity to develop competency with school database (SchoolSpeak).
  • Google Workspace/G Suite.
  • Strong project management skills: ability to work efficiently and meet multiple deadlines.
  • Strong organization skills; able to do multiple tasks and seamless pivot from task to task.
  • Able to maintain confidentiality and maintain professionalism with parents and staff.
  • Team-oriented: ability to work toward school, staff and parish goals.

Preferred Qualifications:

  • Bachelor's Degree
  • Office experience of 1 or more years in a school office setting
  • Bilingual (English/Spanish) preferred but not required
  • Practicing Catholic
