Director of Operations and Business Manager

We are currently recruiting a personable and energetic Director of Operations and Business Management to provide direction, overall management, and oversight responsibility for all administrative functions of the parish including Financial, Communications, IT, Development, and Scheduling.  This position participates in hiring, leading, mentoring, and evaluating new and existing staff members.  Position also conducts staff meetings and develops proactive strategies to improve efficiency, drive accountability and employee engagement while maintaining a supportive and collaborative approach with team members, volunteers, and the community we serve.  

The Director of Operations reports directly to the Pastor and is a primary liaison to the Finance Council.  This position provides and accepts feedback from the Finance Council Representative.  The ideal candidate will possess the exceptional interpersonal and coaching skills needed to motivate and influence others, to reach goals and provide the high level of customer service and best possible experience that are at the core of Saint Ann’s Catholic Church Mission and Values.  

Hours Per Week:  40 (Full-time)

RESPONSIBILITIES INCLUDE:

Parish Administration:

  • Ensure the work facility is safe, free of security issues and in compliance with all government regulations.
  • Work with outside vendors to update/maintain various vendor contracts and necessary business supplies.
  • Maintain a good working relationship with Priests, Deacons, employees, and parishioners.
  • Design and implement procedures to improve efficiency and profitability.
  • Assist Parish staff with other duties that need additional oversight.
  • Coordinate procurement and maintain accountability of capital equipment. 
  • Maintain confidentiality and professionalism at all times.

Personnel Administration – oversee or perform the following:

  • Development and administration of Personnel policies and procedures in accordance with Diocesan guidelines.
  • Administer salaries and benefits programs.
  • Participate in the hiring and termination policies of the Parish in collaboration with the Pastor.
  • Evaluate the effectiveness of the organizational/staffing structure of the Church in meeting the pastoral & business needs of the parish and make organizational and staffing recommendations.
  • Supervise staff within the Parish Operations Branch of the Parish Org Chart, including finances and administration.
  • Collaborate with staff to design appropriate work schedules and organize employee training. 

Communications:

  • Supervise and work with Communications Coordinator to ensure parish communications are consistent, proactive, and responsive.
  • Assist Pastor with direct follow up on communications with parishioners where appropriate.
  • Provide oversight with Communications Director to assist with consistent, pro-active communications with Parishioners, Donors, Ministry Leaders, and Visitors. 

Financial:

  • Oversee all financial operations of the parish - including supervision of bookkeeper and assistant.
  • Confirm that financial protocols are followed and maintained to ensure integrity of financial systems are maintained.
  • Review expenses to ensure budgets are maintained and followed.
  • Develop draft budget for review by Finance Council chair and Finance Council/Pastor approval.  Bring to the attention of the Pastor and Finance Council as appropriate any financial concerns as soon as they become apparent. 

Development:

  • Supervise Stewardship and Development Coordinator.
  • Understand and help facilitate fundraising objectives and programs.
  • Support fundraising efforts where appropriate to ensure success. 

Maintenance:

  • Maintain communication with the maintenance coordinator, ensuring the maintenance needs of the parish are addressed.
  • Refer maintenance staff to the bookkeeper for any financial needs/payment.
  • Based on feedback from the Maintenance Coordinator, assist with budgeting for annual and long-term needs of the facilities.

JOB REQUIREMENTS:

  • Bachelor’s Degree preferred with concentration in Business Management or related field and with minimum 7-9 years of experience in a management position (or alternatively:  Associate’s degree acceptable with a minimum of 15 years of experience as Director of Operations in a large church setting.)
  • Excellent organizational, communication, and interpersonal skills.
  • Willingness to learn parish and Archdiocesan policies and procedures.
  • Supervisory Experience within a business office environment, with a minimum of 8 employees.
  • Prepare and deliver written and oral reports with clarity and accuracy.
  • Knowledge of Standard Human Resources policies and procedures.
  • Knowledge of Stewardship and Fundraising Principles.
  • Knowledge of accounting principles and practices.
  • Proficiency with the English language is required, Spanish language skills are a plus but not required. 
  • Established ability to successfully build and sustain strong working relationships. 
  • Strong conflict resolution skills with effective critical thinking and appropriate discretion in flexibility.
  • Change-champion who embraces inclusion and leads by example in authentically exhibiting decisiveness, integrity, and accountability.
  • Proficient in Microsoft Office applications and use of database software.  Experience in QuickBooks preferred. 

This position is office-based in Clayton, NC; remote office hours may be allowed occasionally, but not on a routine/normal basis. Compensation includes base salary + benefits, including the opportunity for annual bonus.
