Key responsibilities / day-to-day job functions

  • Answers phones, greets parishioners and visitors, performs front desk receptionist job duties when volunteers are not present
  • Assists the front desk receptionist with counting of cash as needed to ensure two people count and sign off on the amount received; receives payments
  • Maintains ACS parish database; enters new parishioner registration; updates parishioner data as needed (addresses, phone numbers, sacramental dates, and special skills) for each parish family member; verifies parishioners active/inactive status of parishioners and removes parishioners who have left the parish  
  • Orders tithing envelopes and communicates with envelope vendor to ensure database is maintained in a timely manner;  provides mailing labels and other database reports to Pastoral and Finance Councils and other councils/committees as required for various projects
  • Provides English to Spanish or Spanish to English translation services for priests and parishioners as needed; responsible for Spanish content of bulletin and website
  • Assists work of Communications Committee and performs other communication and administrative duties as assigned
  • Puts announcements on Narthex screen, bulletin boards and display signs
  • Oversees front desk volunteers; works with Front Desk Ministry coordinator to ensure front desk coverage during core working hours (Monday-Friday) with adequately trained, qualified and knowledgeable volunteers; helps to find other volunteer opportunities for those who cannot adequately perform the duties required; ensure office has adequate volunteer coverage for phones and front desk during stated working hours
  • Provides vacation coverage as needed for administrative staff
  • Assists with funerals and sacramental celebrations as needed

Minimum Requirements

  • High school diploma
  • English/Spanish bilingual
  • Good interpersonal skills
  • Computer knowledgeable; proficient with MS Word
  • Ability to listen to parishioners and understand their needs

Preferred Qualifications

  • Associate degree in business administration
  • Job experience dealing with people in a parish environment
  • Experience in database management
  • Proficient with MS Word and Excel
  • Catholic with good understanding of sacramental requirements

Critical Skills and Expertise

  • Must be English/Spanish bilingual; excellent grammatical knowledge; good written and oral communication skills in both English and Spanish
  • Ability to maintain confidentiality of sensitive and private information
  • Able to work flexible hours; some evening and weekend work required
  • Strong interpersonal skills
  • Professional appearance and business casual appropriate attire is required
  • Good organization skills
