Key responsibilities / day-to-day job functions

  • Performs general administrative duties for the pastor and pastoral staff; schedules visiting priests as needed; facilitates meetings between pastor and ministry leaders and pastoral staff
  • Responds to ministry leaders’ inquiries (phone, email, drop-in visits) in a timely fashion
  • Sets up the basic annual calendar (April, July, Aug) and publishes the parish calendar and schedules ad hoc meetings 
  • Schedules meeting rooms for ministries and fundraising activities on parish calendar. Prepares the master calendar for the parish, updates and publishes weekly and monthly
  • Coordinates fundraising event scheduling; schedules parish hall and LC usage and rental; coordinates setup and take down
  • Coordinates deposits and returns with the bookkeeper
  • Prepares correspondence, thank-you letters, reports, documents and emails for ministries and parishioners for pastor’s approval, in a timely manner
  • Prepares liturgical binders for weekend and special Masses; compiles and translates pulpit announcements and prayer of the faithful
  • Coordinates out-of-office schedules for administrative staff (includes clergy, staff); works with the receptionist / database administrative assistant to ensure the parish calendar is published in a timely and accurate manner
  • Updates parishioner database info as needed
  • Oversees and ensures the maintenance and repairs to the copiers and other office equipment as needed

Minimum Requirements

  • 5 years administrative work experience in a dynamic Catholic environment
  • Some college preferred
  • Excellent MS Word, Excel, Power Point skills required
  • Must be Spanish/English bilingual; fluent in both languages
  • Excellent oral and written grammatical communication skills
  • Good interpersonal skills
  • Good organization skills

Preferred Qualifications

  • Degree in business administration, social work, or other job appropriate field or equivalent work experience in a Catholic parish environment
  • Must be Spanish/English bilingual
  • Supervisory experience preferred
  • Strong interpersonal and organizational skills

Critical Skills and Expertise:

  • Previous experience working in a Catholic parish environment
  • Strong organizational and interpersonal skills
  • Excellent oral and written communication skills in Spanish and English
