Key responsibilities / day-to-day job functions

  • Schedule and coordinate baptisms, funerals, weddings, quinceañeras, presentations, birthday blessings and schedule necessary preparation with DRE and clergy; also arrange appointments with priest for spiritual guidance, home visits and home blessings, sick and hospitals (during administrative assistant working hours)
  • Meets face to face with parishioners to ascertain their needs
  • Instructs parishioners on next steps or requirements for sacraments
  • Ensures that sacramental celebrations (weddings, baptisms, extraordinary first communions, confirmations), funerals and special services (quinceañeras, wedding anniversaries, presentations) receive adequate organization and preparation; works collaboratively with volunteers and or ministries to coordinate preparation for sacraments for families and individuals; ensures all required documentation is completed
  • Prepares Mass binders for the priest/deacon
  • Ensures ceremonies are conducted in accordance with Church protocol
  • Maintains official documents to ensure compliance with baptism, weddings, deaths, and sick sacramental book requirements; paperwork for diocese and books
  • Prepares letters needed by parishioners, e.g., immigration, permissions, recommendation, letters of good standing for godparents
  • Assists parishioners with acquisition of sacramental records from our parish and from other parishes, often from other countries; uploads sacramental documents to ACS as appropriate
  • Working with Office of Religious Education, maintains official parish sacramental records for all baptism, extraordinary first communions and confirmations, weddings and deaths as required  
  • Maintains fund log for collection of fees and other money
  • Submits monthly music allocation fees to the bookkeeper in a timely manner
  • Coordinates with other staff and performs duties as needed in late evening and weekend hours
  • Meets weekly with the pastor  

Minimum Requirements

  • High school diploma
  • Experience working with the Hispanic community in a dynamic Catholic environment
  • Spanish/English bilingual with excellent oral and written communication skills

Preferred Qualifications

  • Previous administrative assistance experience preferred
  • Practicing Catholic in good standing with the church or in process of preparation for the sacraments

  • Able to honor and maintain confidentiality
  • Able to work flexible hours, evenings and weekends
  • Bilingual (Spanish and English)
  • Computer literate; able to learn and implement computer programs
  • Good organizational skills
