St. Ann's Catholic Church, located in Clayton, NC, is currently looking for a Sacramental & Special Services Coordinator, a practicing Catholic who eagerly attends to the needs of the community scheduling sacraments including but not limited to Funerals, Weddings, and ceremonies such as Memorial Masses and Wedding Anniversaries.  Maintains sacramental books and ensures that the parish follows Diocesan recordkeeping guidelines.  This position will report to the Director of Evangelization and Catechesis.

We are currently recruiting a personable and energetic Sacramental and Special Services Coordinator who works with the Pastor’s secretary to schedule and coordinate funerals, weddings, and special services.  Meets face to face with parishioners to ascertain their needs.  Instructs parishioners on next steps or requirements for sacraments.

  • Maintains official documents to ensure compliance with baptism, weddings, funerals, Diocesan paperwork, and parish sacramental books.
  • Composes letters of delegation for visiting priests to perform a wedding and/or baptism.
  • Ensures sacramental books and databases are updated (maintains wedding, baptism ,funeral / oversees First Communion and Confirmation entries).
  • Maintains communication with chancellor for wedding paperwork and sacramental entries.
  • Prepares letters needed by parishioners, e.g., immigration, permissions, recommendation, letters of good standing for godparents.
  • Assists parishioners with acquisition of sacramental records from our parish and from other parishes, often from other countries.
  • Ensures sacramental documents are uploaded to database as appropriate.
  • Works with Columbarium committee to coordinate with families of deceased that are to be interred into the St Ann Columbarium.   Duties include confirming reservation and payment of niche, confirm niche location, schedule services, and obtain payment as needed.
  • Coordinates with other staff and performs duties as needed in late evening and weekend hours.


  • Associate’s Degree preferred with concentration in Office Administration or related field and with minimum 1-3 years of experience in an administrative position.   (Or alternatively:  High School degree acceptable with a minimum of 3-5 years of experience in administrative position at a large church setting.)
  • Excellent organizational, communication, and interpersonal skills with an ability to work with Clergy, staff, parishioners, and families of deceased loved ones with compassion, clarity, and understanding, while maintaining church protocols.
  • Willingness to follow parish and Diocesan policies and procedures.
  • Must satisfactorily complete required criminal background and reference checks.
  • Must complete Diocese-sponsored Safe Environment Training within 60 days of hire. 
  • Experience working with the English and Hispanic communities in a dynamic Catholic environment. 
  • Spanish/English language proficiency with excellent oral and written communication skills in each language. 
  • Practicing Catholic in good standing with the church.
  • Good organizational skills.
  • Must be able to work flexible hours.
  • Established ability to successfully build and sustain strong working relationships.  
  • Strong conflict resolution skills with effective critical thinking and appropriate discretion in flexibility.
  • Proficient in Microsoft Office applications and use of database software.  Experience in QuickBooks preferred.  

This position is office-based in Clayton, NC, remote office hours may be allowed occasionally, but not on a routine/normal basis. Compensation includes base salary + benefits, including the opportunity for annual bonus.
