Key responsibilities / day-to-day job functions

  • Answering and returning all calls, emails, and correspondence in a timely manner
  • Review marriage paperwork that is submitted to the Chancery
  • Record the information into the database and producing the necessary paperwork
  • Manage and update the database of the Chancellor's Office
  • Follow up with the priest, pastoral administrator, deacon, or pastoral minister who has submitted the paperwork if there are any problems or concerns
  • Return the paperwork to the church from where the paperwork was submitted
  • Researching information on non-Catholic denominations and churches
  • Chancery Searches requested by tribunals
  • Review, sort, follow up, and process paperwork submitted to the Chancellor's Office, included, but not limited to, Prenuptial/Marriage paperwork, Chancery Search, Tribunals requests
  • Assist in the preparation of the different reports generated by the Chancellor's Office
  • Assists the Archive Office in their needs/projects/tasks

Minimum Requirements

  • Employment is contingent upon applicant satisfactorily passing criminal background and reference checks
  • Must complete diocese-sponsored Safe Environment Training within 30 days of hire
  • Minimum level of Education: High School diploma/GED
    • Associate degree or two years of college preferred
    • Minimum amount of Work Experience
      • Years of related work experience 
      • Area of related work experience: office environment administrative assistant 
  • Fully Bilingual (English/Spanish)
  • Intermediate level of data entry and software experience
  • Minimum GED degree / 2 years college
  • Ability to work with confidential information and maintain confidentiality
  • Verbal and written communication skills
  • Time management and task prioritization skills
  • Ability to translate documents when necessary
  • Availability to work remotely after training period
  • Experience with Microsoft Office suite (Word, Excel, Outlook, PowerPoint, Publisher)

Preferred Qualifications

  • Previous experience in working for the church
  • Previous experience in working in an office environment
  • Some college experience
